Five ways to protect your print documents Epson Express Centre

Five ways to protect your print documents

Today, even the smallest businesses know it: document security is paramount. When it comes to data breaches, covert government attacks and the most notorious cyber criminals spill a lot of ink, but the most common threats are far less thrilling.   If you’re using a printer that isn’t right for your needs, it’s frustrating how easy it is to inadvertently leak confidential information. Here are five things you must avoid if you want to protect your print document:   1. Never leave your documents in the printer tray:   See that pile of documents in your printer’s tray? It’s not just waste, it’s also a threat to your business. The salary data of your employees, the information of your customers, your company’s financial plan or even its road map could easily be there.   To prevent this critical data from falling into the wrong hands, make sure your printer is smart enough to require user authentication before printing any documents.   2. Sending document not protected by passwords:   Imagine sending a document to Seun in the financial department of your organization. After scanning the document as quickly as possible then you send it … but not to the right Seun. Oops! Am you’ve once experienced this. Go for a printer that helps you password protect your files.   3. Saving sensitive files in an unsecured folder:   When one of your employees needs to scan a document and save it to the cloud, they usually save it locally first. Whether it’s on his desktop or in a folder, if he forgets to delete this file locally once it’s backed up to Dropbox, Google Drive, or any other cloud service, your business could be affected. To protect your confidential documents, equip yourself with a printer smart enough to automatically save files to the cloud. Your users won’t need to worry about it anymore.   4. Asking a colleague to print for you:   Mobile workers often need to print documents at the last minute. They generally call on a collaborator to print the documents for them. If sensitive data is saved in an unsecured location, it could hurt your business. If your printer supports mobile printing, your mobile workers can now manage the printing of their files themselves. Problem solved.   5. Leaving your data in the hard drive of the printer:   You may not see your printer as a computer, yet smart printers come with hard drives and have become essential to the flow of information within your business.   So make sure that your printer automatically overwrites the data on its hard drive. Most importantly, make sure the data is encrypted as it should.   The leak of confidential data is a nightmare for any business, especially if it can be easily avoided. Do not leave anything to chance. Get a smart printer that has all the features you need to secure your information flow, and all the intelligence you need to help your employees work better and more efficiently.   Information security is a priority for businesses of all sizes. Many already trust the Epson brand and rely on the smartest Epson enterprise printers on the market. A times, several printers have default settings in order to save on ink and paper, so all you need to do is to change the settings on your device and voilà, your print quality downside is resolved.   This paragraph explains how to find your printer settings first on your printer. There are essentially two ways you can find your printer’s settings.   The first option is changing your printer’s preferences while you initiate the print process, as this can be done when the printer dialogue box comes up, and before you click “Print”.   The second option on the other hand is to consult the system preferences from your Windows 10 start menu. An information worthy to note is that the first option changes your settings for a single print while the latter will change your printer’s default settings.   So the question of how to update printer settings for a single print is expatiated briefly below; If you are looking at wanting to update your printer settings just for the document you’re currently printing, follow these simple step:   1. Start by opening the photo/document you intend printing. 2. Click “File” 3. Click “Print” 4. Click “Properties,” “printer properties,” or “preferences,” 5. Change the quality and the paper size/ type   The second update entails updating default printer settings for all prints; You can adjust your printer’s settings for high-quality printing by going to your system preferences and making the changes from there. Follow these simple steps below to change your printer’s default settings:   1. Start by typing “devices” into the search bar on your system. 2. Click on “Devices and Printers” 3. Right click on the printer icon 4. Select “Printing Preferences” 5. Change print settings, click “OK” 6. Ready, set, print!   Remember, if you want to revert the printer settings, simply go to your system preferences and make the changes by clicking the “restore defaults” button.   There are a few other things that can impact the veracity of your prints, besides the printing device settings. Let me outline a few high-quality printing tips that would help to improve your overall photo print and standard document printing.    The Use of original files:   Printing using the original flies gives you the desired high resolution quality but printing from duplicate file could mean you loss the resolution with a compressed image.    Choosing the right ink or toner:   There are basically two types of printer we are discussing for the purpose of this article which are the inkjet printer and the laser printer. Before you start to print, decide whether you want to print on an inkjet printer or a laser printer.   Normally, an inkjet printer uses traditional printer ink, while a laser printer uses a toner. Inkjet printers are good at blending different ink colors to create prints that have a very dynamic color range.   A brief summary of how an inkjet printer works: As the paper is rolled through the printer, ink is dropped onto the paper through small nozzles thus, placing particularly small particles of ink onto paper to create an image. An information worth noting is that the Inkjet printer usually has a slower process than the Laser printer but the quality of the color is unique.   The Laser printer on the other hand is very good at creating diagonal lines. A laser printer uses static electricity to print your image. Let’s outline the difference between the two printers as follows:   – Laser printers don’t print color images as well as inkjet printers because laser printers aren’t as good at mixing colors. – But one big upside to a laser printer is that it prints incredibly fast. – Furthermore, one single cartridge of toner can print many more pages than a single cartridge of ink.    Choosing the right paper They are various types of photo papers that can be used for high-quality prints which are as follows:  Matte paper  Glossy paper  Luster paper.   Matte paper has a silky, smooth finish. Glossy paper is the opposite of matte paper. Photos usually printed with glossy finish have a natural shine to them. This is typically considered as one of the best papers for printing high-quality photographs.   Luster paper on the other hand is described as a ‘semi-gloss’ finish. It is however advisable to try printing on all three papers in order to see which one is your choice of preference.   If you’re interested in setting up your Epson printer for the best possible output, kindly request to speak with our Tech specialist using the link below.   CLICK HERE TO SPEAK WITH A SALES ENGINEER     You can also contact us by writing to the email: info@epsonexpresscentre.com
